How to translate AIHR resources

You’ve found a resource in the AIHR Resource Library that can boost efficiency and help your team standardize how they work. If English isn’t your working language, you can translate the resource quickly using Microsoft or Google tools, then apply a few quality checks to make sure it’s accurate.

Option 1: Translate with Microsoft tools

  1. Open Microsoft Translator (website or app).

Choose what you want to translate:

    • Text (paste the content), or
    • Documents (upload the file, if supported in your workflow).
  2. Select your target language.
  3. Translate and download/copy the result.
  4. Review and adjust key HR terms, tone, and any sensitive wording.
  1. Paste the English text into Copilot.
  2. Ask Copilot to simplify and clarify the text (for example: “Rewrite this in plain English without changing meaning”).
  3. Translate the refined text using Microsoft Translator.
  4. Compare the translation with the original to ensure meaning stays the same.

Option 2: Translate with Google tools

  1. Open the resource content in Google Docs (paste it into a new document if needed).
  2. Go to Tools and Translate document.
  3. Choose your target language and confirm.
  4. Google creates a new translated document
  5. Review the translation for accuracy and HR terminology.

Top tip to improve results

  • Simplify the original English first (shorter sentences, clearer wording) before translating.
  • Use AI suggestions to clarify difficult phrases and domain-specific terminology (e.g., HR concepts), but don’t accept changes blindly.

Best practices and quality checks

Review for accuracy

  • Read the translation end-to-end to confirm meaning, tone, and context.
  • Pay special attention to HR-specific terminology and any sensitive organizational language.

Refine with AI tools

  • Use Copilot or Google suggestions to improve clarity and consistency.
  • Always validate important sections yourself (or with a colleague), especially policies, legal/employee wording, and anything customer-facing.

Save and share with your team

  1. Save the translated file locally or in your team’s shared drive.
  2. Share it for feedback and validation.
  3. Confirm it feels culturally appropriate and matches how your organization communicates.

Human review is essential

AI tools speed up translation significantly, but a human review ensures the final version is professional, culturally sensitive, and contextually correct.

Once you’re confident in the quality, you’re ready to use the resource to support your daily work, align your team, and get the most value from AIHR content, no matter the language you work in.
